New Manager Tips – Documentation

How can you keep great documentation?  Yes I know, tricky. I used three different methods. I used a simple spiral notebook to keep notes of appointments and meeting. I had a password protected word document used for all HR, staff or personal issues and on my desktop I would have a “to do” list.

I would always use outlook (or similar) to keep track of who I needed to see when, and could easily organise appointments. Having a phone which can also keep a track of your appointments is also fabulous. Beware, if you don’t have those appointments synced with your appointments made using your PC!!!  You will miss meetings.

Organisation Whilst you are Juggling

Sometimes when I was working on many projects or had multiple groups that I met with, I’d use one of those notebooks separated into four/five sections.  That way is was easier to keep project notes together.  Sometimes days were so busy and hectic, particularly if there was a breakdown or failure. You’d be focused elsewhere and you’d forget to write things down.  It happens, but as soon as possible, even the shortest of notes about what went down will help you in remembering when and if you ever are asked about it, or need to deal with the same or similar situation again.  If it is HR related, stay back and write down everything you remember.

I’m not the holder of all the truths and solutions. I’m hoping that by hearing what I have to say, you can better understand who you are as a manager.
